SPORTS COMMITTEE

ANNADA COLLEGE, HAZARIBAG

With reference to letter no. VBU/DSW/2168/2026 dated 15/06/2026, the Sports Committee is being reconstituted as the Sports and Athletic Club. It is a supervisory and advisory body for the college administration. Its primary aim is to provide healthy leisure time to the students as well as groom the sportspersons of the college to compete at the state, national, and international levels.

Functions / Responsibilities

  1. Coordinate with students for organizing intra- and inter-college sports activities.
  2. Maintain stock records of previous and current years' sports goods.
  3. Order sports goods in consultation with the Principal and sportspersons.
  4. Arrange venues for sports events.
  5. Coordinate with the Principal to obtain permission for holding sports events on the college campus.
  6. Recommend students for permission to participate in intra- and inter-college events.
  7. Recommend sanction of entry/registration fees for participation in various sports events.
  8. Recommend attendance to students who have participated in sports events, as per rules.
  9. Resolve issues arising during matches (team selection, objections, disputes, etc.).
  10. Maintain discipline during all events held inside and outside the college.
  11. Organize sports events for staff members.
  12. Maintain records of sports events attended by students within the college, outside the college, within the University, and elsewhere.
  13. Maintain records of scholarships, fee exemptions, awards, and medals received by students within the college, outside the college, within the University, and elsewhere.
  14. Finalize the schedule of sports events for the entire academic year in consultation with the Students' Sports Committee and ensure it is included in the academic calendar.

Miscellaneous

Membership:
The membership of nominated members of the Sports Committee shall be for a period of two years from the date of notification.

Meetings:
The Committee shall meet at least once every quarter.

Quorum:
The quorum for a meeting shall be two-thirds of the total number of members.

Record Keeping:
The agenda, minutes, and Action Taken Reports (ATRs) shall be documented with official signatures and maintained both in a register and electronically in a retrievable format.

Reporting:
A copy of the agenda, minutes, and Action Taken Reports shall be submitted to the IQAC of the college for preparation of various reports. A soft copy shall also be submitted to the Principal (Administration) and the Secretary (Management) of the institution.
